1. Data We Collect

We collect the following information when you use the platform:

• Account data — name and email address of recruiters and administrators who register with us.
• Candidate identity data — candidate name and email address provided by the hiring organisation when scheduling an interview session.
• Audio recordings — spoken answers recorded through the candidate's microphone during a live interview session.
• Video recordings — camera footage captured during a live interview session to verify candidate identity and engagement.
• Interview answers — text transcriptions of spoken answers, generated automatically from audio recordings.
• AI-generated evaluation data — per-question scores, feedback, and skill assessments produced by our AI scoring system.
• Usage data — standard server logs (IP address, browser type, timestamps) used for security and diagnostics.

2. Camera & Microphone Access

Camera and microphone access is requested exclusively during a live interview session in the candidate-facing browser application. Access is granted by the candidate through their browser's permission prompt and is used solely to capture interview answers. We do not activate these devices outside of an active interview session, and access ends when the session ends. Candidates may revoke browser permissions at any time, though doing so will prevent the interview from proceeding.

3. How We Use Your Data

• To conduct and evaluate interview sessions on behalf of the hiring organisation.
• To transcribe spoken answers into text using speech-to-text processing.
• To generate AI-powered scores, feedback, and skill assessments for recruiters.
• To provide recruiters with analytics and session results through the recruiter dashboard.
• To send transactional emails (interview links, account verification, password reset).
• To operate, maintain, and improve the platform infrastructure.

4. Data Retention

Candidate interview data — including recordings, transcriptions, answers, and AI scores — is retained for 6 months from the date the interview session is completed. After this period, candidate data is permanently deleted from our systems. Recruiter and administrator account data is retained for as long as the account is active. Organisation data associated with an active subscription is retained in accordance with the subscription agreement.

5. Data Deletion Requests

Candidates may request early deletion of their interview data at any time before the 6-month retention period expires. To submit a deletion request, please use our Support page and select Data Deletion Request as the subject. Include your name and the email address used for the interview. We will process deletion requests within 14 business days.

6. Data Sharing

We do not sell, trade, or rent personal data to third parties. Interview data is shared only with the hiring organisation that created the interview session. We may use third-party AI services (such as OpenAI) to process audio transcription and scoring; these providers process data on our behalf and are bound by their own data protection agreements. We do not share data with any other parties except as required by law.

7. Security

We implement reasonable technical and organisational measures to protect your data, including encrypted communications (HTTPS), HTTP-only authentication cookies, and role-based access controls. However, no system is completely secure, and we cannot guarantee absolute security.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to registered account holders. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
